LeasePlan Hellas chooses Sony to make the smart workplace a reality
TEOS streamlines room and AV management in fast-paced Athens office, increasing collaboration and driving cultural change
LeasePlan is an international automotive business operating in two large and growing markets: Cars-as-a-Service for new cars and the sale of high-quality used cars.
LeasePlan Hellas main office in Athens is a home to 134 people working across a variety of functions including customer relations and sales.
Faced with the challenge of effectively managing a heavy volume of important meetings, visitors and internal communications, LeasePlan embarked on a project to create a more efficient and productive office environment, with technology at its core.
LeasePlan Hellas called on Sony and installer Technologica Systems to create a solution that would transform inefficient room and digital signage management with a sleek and intuitive new system, streamline high-traffic days in the office and drive a true cultural shift internally.
Understanding complex requirements
Before enlisting the support of Sony, LeasePlan Hellas did not have the right technology to manage the complexity of rapidly changing room bookings in its large Athens office.
George Mytilinaios, IT Director of LeasePlan Hellas needed a solution that would help manage and simplify processes and resource management for the large number of clients and suppliers visiting the site, as well as the internal meetings taking place every day. Staff often felt the office was at maximum capacity and couldn’t accommodate everyone’s needs.
Diary clashes were common and often staff would have to rush to make sure a room was booked and ready. George wanted to ensure that staff would be prepared and comfortable, and not worry about finding rooms before important meetings.
George approached Sony through Technologica Systems S.A. to discuss how LeasePlan could overcome its challenges, streamline space management and impress its visitors with a smart and high-tech operation in keeping with the organisation’s reputation
Why Sony was selected
With large offices and a customer-centric business, LeasePlan Hellas needed to optimise its working environment to empower staff and visitors to work more effectively and productively.
Responding to expanding needs to enable more efficient communication and collaboration across the company, whilst making the smart workplace a reality, the organisation required a solution that would:
- Enable fast-paced teams like sales to book and change meeting rooms on the go - if an important client was ready to visit, they needed a system that could adapt quickly.
- Be cutting-edge, slick and responsive but easy to use; in keeping with LeasePlan’s overall business.
- Be customisable and packed with powerful features to help manage different technologies, devices and content centrally.
- Encourage a positive cultural shift to more collaborative and transparent working.
LeasePlan Hellas immediately felt that Sony was the most reliable and trusted option for the task and was drawn to its technology pedigree and partnership approach to the services it offers.
With an ability to deliver an end-to-end solution that could offer granular customisation and an expandable set of workspace management features, Sony was the perfect partner to respond to LeasePlan’s needs now and in the future.
Hardware, software and customisation: a total solution from Sony
Sony and Technologic Systems equipped LeasePlan Hellas with a total solution for room and digital signage management.
Together they combined the powerful hardware of 20 BRAVIA 4K Professional Displays, and several interactive tablets with the sleek interface and intelligent software from the Sony TEOS suite of workspace management solutions.
Meeting rooms throughout the building can now be managed seamlessly through the business-optimised booking solution, TEOS Book.
Stylish, interactive tablets are positioned outside meeting rooms and can be used directly to make new bookings at the swipe of a finger while clearly showing existing bookings.
The versatile system integrates with other LeasePlan corporate booking systems to alleviate the risk of diary clashes and facilitate a more productive flow of people throughout the office environment.
Customised templates on each of the tablets ensure consistent branding throughout the office and a holistic experience for visiting customers.
Within the meeting rooms themselves, BRAVIA 4K Professional Displays can be used to make presentations bright, crisp and ultra-engaging in every meeting.
And beyond the meeting rooms, digital signage throughout the building is controlled remotely using the TEOS Manage display device and room management software.
It means that company announcements can be communicated rapidly via onsite screens. Meanwhile, TEOS Manage’s energy management tools track usage and highlight how AV and IT teams can make operations more efficient.
Impacting culture and employee engagements
The response to the new solution from employees and visitors alike has been overwhelmingly positive.
While the Sony solution has driven significant improvements in workspace management and helped to create a seamless AV experience at the Athens office, its impact transcends far beyond the office environment itself.
George Mytilinaios explains: “For many of our teams, this solution has been transformative on a cultural level. When people don’t need to worry about finding rooms, overcoming diary clashes it frees up precious time to focus on the work that really matters to them. Overall, working with Sony and Technologica Systems was a pleasure. They understood our requirements immediately, were responsive to our specific needs and found us a solution that makes our environment a far more productive and enjoyable space to work in.”
The Sony solution is futureproof with capacity for growth. LeasePlan Hellas hopes to add additional tablets and signage in the coming year in order to unlock even more potential from the powerful Sony TEOS suite of workplace tools.
